Primary Objective: To provide support and assistance to Executive Management for advancing events, coordinating logistics, and assisting production to completion.
Essential Role and Responsibilities:
- Work with Senior Marketing & Events Manager as well as Audio, Visual, and Executive Management to advance crew and production logistics with production managers and promoter reps.
- Schedule and participate in production advance calls with clients and account managers to gather all necessary information.
- Schedule and participate in crew advance calls with leads and event staff.
- Work in R2 labor staffing software to input weekly operational schedules and make necessary changes.
- Maintain and organize detailed calendars of client requirements for specific events and venues.
- Enter opportunities into CRM software.
- Create, maintain, and organize event folders for management & event staff.
- Prepare event information and production advance sheets for event staff.
- Support Senior Marketing & Events Manager and department heads in employee and contractor events and operational staffing.
- Manage all aspects of crew logistics including travel, accommodation, and transportation.
- Be the point person for all event crews regarding travel, event information, accommodation, transportation, etc. (may include after hours and weekend hours to coordinate)
- Advance all rehearsals and maintain rehearsal calendar
- Disseminate schedules & crew reports to warehouse and event staff as well as management.
- Other duties as assigned.
Qualifications and Education Requirements:
- High School Diploma or equivalent
- 2-3 years of industry experience (events management, production, etc)
- Strong knowledge of Microsoft, Google products.
- Knowledge of R2 or labor staffing software preferred.
- Excellent verbal and written communication skills.
- Excellent customer service skills.
FLSA Status : Exempt
Job Type: Full-time
Pay: $55,000.00 – $70,000.00 per year
