Primary Objective: To support the Integration team’s organizational process and practices. This position will report directly to the Senior Project Manager and will assist in the daily operations and functions of the Integration department.
Project Coordinator Primary Responsibilities:
- Assist in managing and maintaining BNP’s integration calendar with BNP Project Managers.
- Manage and maintain BNP integration’s file organization structure and all associated project files (drawings, proposals, CAD files, Q-SYS files, etc.)
- Coordinate deposits, progress payments (including schedule of values), final billing and Change Orders (CO’s) with BNP accounting.
- Establish reasonable project schedules in coordination with Account Manager.
- Prepare accurate “need by” dates for all equipment categories for purchasing.
- Assist with tracking approved Purchase Orders, order confirmation, estimated ship dates, delay notifications, etc.
- Coordinate Venue access and daily work schedule with client/customer.
- Coordinate field tech/subcontractor schedules and assist with staff scheduling for all projects.
- Coordinate and confirm rental equipment if necessary (i.e., lifts, tools, etc).
- Confirm inventory received in coordination with Warehouse Operations.
- Tally and verify all field tech and subcontractor hours (on-site and off-site) related to the project.
- Regular updates to client and account manager.
- Prepare system testing documentation in coordination with the programmer and commissioning team.
- Compile and distribute a comprehensive punch list and distributed to all parties (internal).
- Assemble all equipment manuals, documentation, and spare parts for delivery to the client.
- Assist with warranty repairs, advance replacement units and acquiring RMA’s for returns or repairs.
Qualifications and Education Requirements:
- High School Diploma or equivalent.
- 1-3 years of experience in project coordination preferred (including procurement/purchasing).
- Excellent verbal and written communication skills.
- Experience with MS Office Suite, Google Suite required.
- Familiarity with the AV industry preferred.
- Adobe Acrobat, BlueBeam Revu or similar PDF editor experience preferred.
FLSA Status: Non-Exempt
Job Type: Full-time
Pay: $25.00 – $30.00 per hour
Expected hours: 40 – 45 per week
